How Financial Documents Are Processed

This is the core of our product: encrypted bank statement uploads, OCR financial data extraction, and secure statement converter outputs you can use in reconciliation and automation.

  • Uploaded documents are processed temporarily to perform the operations you initiate (conversion, extraction, validation).
  • OCR and AI-assisted pipelines read layout and text to recover tables, transactions, and balances from PDFs and scans.
  • Transaction parsing produces structured rows (dates, amounts, descriptions, debit/credit) suitable for spreadsheets and downstream tools.
  • Balance verification includes checks such as opening and closing balances, transaction totals, and running balance reconciliation where the statement format supports it.
  • Processing runs on secure cloud infrastructure with restricted access. Document access is limited to what is needed to complete the requested workflow.
  • We generate CSV, Excel, and JSON exports as structured financial data for your requested downloads or integrations.

Uploaded customer financial documents are not used to train public AI models.

File Retention & Deletion

Financial document workflows often require short-lived processing storage. We aim to be clear about retention expectations without over-promising a single fixed window for every edge case.

  • Uploaded files may be stored temporarily while we complete extraction, running balance checks, and export generation.
  • Files may be automatically deleted after processing completes, subject to technical workflow and account state.
  • Exports may remain available only for a limited time so you can download them—availability can vary by workflow.
  • You may request deletion or discuss retention by contacting us (see below).
  • Exact storage duration may vary depending on processing path, errors, retries, or account status.

Third-Party Services

Like most SaaS products, we rely on specialized providers for infrastructure and payments. We list providers that appear in this codebase and deployment stack—not a generic vendor laundry list.

Supabase

Authentication, database, and related backend services for accounts and product data.

Paddle

Payment processing and subscription billing; card data is handled under Paddle’s flows.

Google Cloud (Document AI)

Document OCR and layout processing for PDF and scanned statement extraction.

OpenAI

Optional AI-assisted normalization or structuring when configured via our application environment—not for training public models on your uploads.

Zoho (SMTP)

Transactional email delivery for support and product-related messages sent through our mail integration.

When you use the hosted application, infrastructure and networking may also depend on your hosting and DNS provider’s environment; those providers process data only as needed to deliver traffic to the service.

Cookies & Analytics

We may use cookies and similar technologies for authentication sessions, security, and basic product functionality.

If we enable analytics or event measurement, it is used to understand product usage and reliability—not to sell statement content. Any such tooling is configured consistent with our engineering practices at the time.

Session management helps keep you signed in and protects against common web abuse patterns.

Your Rights & Choices

Depending on your location, privacy laws may provide additional rights. In all cases, we will take reasonable steps to respond to legitimate requests.
